Your Information

Privacy Policy

We collect what we need to pick you up on time, charge you correctly, and keep you safe — nothing more. This page explains exactly what that is, who sees it, and how to get it removed.

Effective: May 30, 2025 Last revised: August 9, 2026 Covers: lightning-limo.com and our booking tools

Section 01Who we are and what this covers

Lightning Limo LLC ("Lightning Limo," "we," "us") is a licensed and insured ground transportation company based at 3521 Guilford Ave, Indianapolis, IN 46205, operating under active USDOT interstate authority.

This policy covers information we collect through lightning-limo.com, our online quote and booking tools, our text message and phone systems, and in the course of providing transportation. It applies to passengers, people who book on behalf of passengers, corporate account contacts, and website visitors.

Section 02Information we collect

Information you give us

  • Contact details: name, mobile and office phone numbers, email address, and company name
  • Trip details: pickup and drop-off addresses, dates and times, airline and flight numbers, passenger count, luggage, vehicle preference, and special instructions such as child seats, accessibility needs, or gate codes
  • Passenger details you provide for others: when you book for a colleague, client, or family member, we collect their name and mobile number so the chauffeur can reach them
  • Billing details: billing address, purchase order or cost-center references, and payment card information handled by our processor (see Section 04)
  • Correspondence: emails, texts, quote requests, review responses, and notes from phone calls with dispatch

Information collected automatically

  • IP address, approximate city-level location derived from it, browser and device type, operating system, and referring page
  • Pages viewed, quote-tool inputs, time on site, and links clicked
  • Cookie and tag identifiers used for analytics and advertising measurement (see Section 06)

Information from other sources

  • Affiliate operators and travel networks that send us a reservation on your behalf
  • Corporate travel managers and event planners booking for their travelers
  • Flight status data from public airline and airport feeds, matched to the flight number you give us
  • Mapping and routing data from Google Maps to calculate distance, drive time, and pricing

Vehicle and safety data

Our vehicles use GPS for dispatch, routing, and time verification. Some vehicles are equipped with forward- and cabin-facing cameras for the safety of passengers and chauffeurs. Recordings are used only for safety, incident investigation, insurance claims, and lost-property recovery, are accessible to authorized personnel only, and are overwritten on a rolling basis unless retained for a specific incident.

Section 03How we use your information

We use your personal information solely for booking, communication, and legal compliance. In practice, that means:

  • Quote, confirm, dispatch, and complete your transportation
  • Send reservation confirmations, chauffeur assignments, on-the-way alerts, and pickup reminders by text and email
  • Track your flight and adjust pickup times
  • Process payments, issue receipts, and handle refunds and disputes
  • Respond to questions, resolve service issues, and return lost items
  • Maintain safety, verify trip times, and support insurance and incident records
  • Meet legal, licensing, insurance, tax, and USDOT recordkeeping obligations
  • Understand which pages and ads bring travelers to us so we can improve the site and spend advertising budget sensibly
  • Send occasional service updates or offers to customers who have asked to receive them — every marketing email includes a one-click unsubscribe

Section 04Payment information

Card payments are processed by Square, Inc., a PCI-DSS compliant payment processor. Card numbers are entered into Square's systems and are tokenized.

Plain English

We never see or store your full card number, CVV, or expiration date. Our records show only the card brand, the last four digits, an authorization reference, and the amount. Square's handling of card data is governed by Square's own privacy policy.

For corporate accounts on billing terms, we retain invoices, purchase orders, and payment records as required for tax and accounting purposes.

Section 05Text messaging and phone calls

Consent language

By providing your phone number and clicking "Submit," you agree to receive automated text messages (for example, booking confirmations, driver updates, and promotional offers) from Lightning Limo at the number provided. Consent is not a condition of purchase. Msg & data rates may apply. Msg frequency varies. Reply STOP to unsubscribe at any time.

We use text messaging to send booking confirmations, chauffeur-en-route alerts, pickup reminders, wake-up and dispatch notifications, and occasional promotional offers. Your number is used for these purposes only.

Mobile information — how we handle it

No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes. Mobile opt-in data and consent are never shared with any third party except the messaging providers that deliver the messages on our behalf.

  • Message frequency varies by reservation and by whether you receive promotional messages.
  • Message and data rates may apply depending on your mobile plan.
  • To stop: reply STOP to any message. You will receive one confirmation and no further texts. Note that stopping texts may prevent us from reaching you about a pickup.
  • For help: reply HELP or call (317) 531-5212.
  • Delivery is not guaranteed and depends on your mobile carrier.

Calls to our dispatch line may be recorded or monitored for quality, training, and reservation accuracy. If you prefer not to be recorded, tell the agent and we will complete your booking by text or email instead.

Your choices

  • Most browsers let you block or delete cookies in settings. Blocking essential cookies may break the quote and booking tools.
  • Opt out of Google Analytics with the Google Analytics Opt-out Browser Add-on.
  • Manage personalized advertising at Google My Ad Center.
  • We honor Global Privacy Control (GPC) signals as an opt-out of targeted advertising where applicable law requires it.

Section 07When we share information

We share only what is necessary, only with the parties below:

  • Your chauffeur — name, mobile number, pickup and drop-off details, and special instructions. That is all a chauffeur receives.
  • Affiliate and subcontracted operators — when a trip is outside our service area or our fleet is fully committed, we assign it to a licensed and insured partner operator, who receives the same limited trip details. Partners are required to use that information only to perform the trip.
  • Service providers — Square for payments, our SMS and voice provider for messaging, our email delivery provider, our hosting provider, and Google for mapping and analytics. Each is bound by contract to use the information only to provide their service.
  • The party who booked the trip — corporate travel bookers, event planners, and account administrators can see the trips they arranged and paid for, including pickup times, addresses, and charges.
  • Legal and safety — law enforcement, regulators, insurers, or counsel where required by law, subpoena, or valid legal process, or where necessary to investigate an incident, protect the safety of a person, or establish or defend legal claims.
  • Business transfer — if the company is sold, merged, or reorganized, customer records may transfer with the business. This policy continues to apply until you are given notice of a change.

Section 08We do not sell your information

We do not sell or share your data without your consent, unless required by law. We do not share personal information for cross-context behavioral advertising in exchange for money or other value. We do not rent, trade, or provide customer lists to data brokers, lead generators, or other transportation companies for their own marketing.

Section 09How long we keep information

Retention periods
RecordKept for
Trip and reservation records7 years, for tax, insurance, and USDOT recordkeeping
Payment and invoice records7 years, as required for accounting and tax
Quote requests that never became trips24 months, then deleted or anonymized
Website analytics dataUp to 14 months
Vehicle camera footageOverwritten on a rolling basis unless retained for a specific incident or claim
Marketing contact recordsUntil you unsubscribe, plus a suppression record so we do not contact you again

Section 10How we protect information

  • Encrypted connections (TLS) across the site, the quote tools, and the booking portal
  • Hardened sessions, CSRF protection, and rate-limited logins on our administrative systems
  • Role-based access — chauffeurs see only their assigned trips; full customer records are limited to authorized staff
  • Card data isolated in our PCI-compliant processor rather than our own systems
  • Background-checked and drug-tested chauffeurs who handle customer information as part of their duties

No system is perfectly secure. If a breach affects your personal information, we will notify you and the appropriate authorities as required by law.

Section 11Your privacy rights and choices

Depending on where you live, you may have the right to:

  • Know and access the personal information we hold about you
  • Correct inaccurate information
  • Delete your information, subject to records we must keep by law
  • Obtain a copy of your information in a portable format
  • Opt out of targeted advertising and of any sale or sharing of personal information
  • Be free from discrimination for exercising any of these rights — our pricing and service never change because you made a privacy request

These rights are created by laws including the Indiana Consumer Data Protection Act, the California Consumer Privacy Act as amended, and comparable laws in other states. We honor these requests from any customer, regardless of state and regardless of whether a given law technically applies to us.

How to make a request

Email service@lightning-limo.com with the subject line "Privacy Request," or call (317) 531-5212. We will verify your identity using the phone number or email on your reservations and respond within 45 days. An authorized agent may submit a request on your behalf with written authorization.

If we decline a request, we will tell you why, and you may appeal by replying to our response. If your appeal is denied, residents of some states may file a complaint with their state Attorney General.

Marketing opt-out

Use the unsubscribe link in any marketing email, reply STOP to any text, or ask us directly. We will continue sending transactional messages about active reservations until those trips are complete.

Section 12Children's privacy

Our website and booking tools are intended for adults. We do not knowingly collect personal information from children under 13. Children travel with us regularly as passengers, and in that case we collect only the information a parent, guardian, or authorized adult gives us for the trip. If you believe a child has submitted information to us directly, contact us and we will delete it.

Section 13Visitors from outside the United States

We operate in the United States, and information you provide is processed and stored here. Privacy laws in the U.S. may differ from those in your home country. If you are in the European Economic Area or the United Kingdom, our legal bases for processing are performance of a contract (arranging your transportation), legal obligation (tax, insurance, and transport records), consent (marketing messages), and legitimate interests (safety, fraud prevention, and improving our service). You may contact us to exercise your rights under those laws.

Section 14Third-party sites and links

Our site links to third parties including Google reviews, our social media profiles, and partner operators' sites. Once you leave lightning-limo.com, their privacy policies govern, not ours. We are not responsible for their practices.

Section 15Changes to this policy

We may update this policy as our services, tools, or legal obligations change. The "Last updated" date at the top always reflects the current version. Material changes will be announced on this page, and where required, by email to affected customers. Continuing to use our services after an update means you accept the revised policy.
